This policy explains what personal data we collect, why we collect it, who we share it with, and the rights you have over it under UK GDPR.

1. Who we are

Search4Energy is the data controller for personal data submitted via search4energy.co.uk. You can contact us at info@search4energy.co.uk or on 07506 364 151.

2. What personal data we collect

  • Contact data — your name, business name, job role, business address, email address and phone number.
  • Business energy data — MPAN and MPRN numbers, current supplier, contract end date, historical consumption, meter details and site address.
  • Correspondence — records of calls, emails and messages exchanged with us.
  • Website usage data — IP address, browser type, pages visited and referring source, collected via cookies and analytics (see our Cookie Policy).

3. Why we use it (lawful basis)

  • Contract performance. Requesting supplier quotes, arranging switches, managing renewals and handling billing queries on your behalf.
  • Legitimate interests. Contacting you about renewals before your contract ends, improving our service, and preventing fraud.
  • Legal obligation. Tax, accounting and regulatory reporting requirements.
  • Consent. Marketing communications, where you have opted in.

4. Who we share it with

  • UK energy suppliers we request quotes from on your behalf, under your signed Letter of Authority.
  • Industry data providers (Electralink, Xoserve and equivalent) that hold meter and consumption data.
  • Our service providers — hosting, CRM, email and telephony platforms — bound by contract to process data only on our instructions.
  • Regulators and enforcement bodies where legally required.

We do not sell your personal data. We do not share it for third-party marketing.

5. How long we keep it

Contract and consumption data: for the duration of any contract we help you enter, plus 7 years to meet statutory record-keeping obligations. Enquiries that don't result in a contract: 24 months. Marketing preferences: until you withdraw consent.

6. Your rights

Under UK GDPR you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have data erased where we have no ongoing lawful reason to keep it;
  • restrict or object to how we use it;
  • receive a copy in a portable format;
  • withdraw consent to marketing at any time.

7. Complaints

If you're not happy with how we've handled your data, please tell us first — see our Complaints Handling Procedure. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

8. Changes to this policy

We review this policy at least annually and will update the "Last updated" date at the top. Material changes will be flagged to registered contacts by email.
